These days, we rarely see semi-colons used in writing. Part of it is the growing preference on commas to separate ideas within a sentence. However, a lot of it can also be attributed to people just steering clear of them entirely because they’re not sure how to properly punctuate with semi-colons.

In the English language, there are two general instances when semi-colons are fit for use in your sentences:

You can use semi-colons to separate items in a list. While commas can do the same, semi-colons come in handy when separating items with commas in them (such as names of law firms or lists of lists). They’re also a lot more suitable when separating items that consist of long clauses, too, where commas can be mistaken as breaks in the sentences, rather than as item separators.

You can use semi-colons to join two complete sentences whose meaning makes sense to go together under a single sentence. This is more a preference for the writer, as those two sentences can easily do well left on their own (and they’ll be grammatically correct, too). However, the semi-colon does allow you room to create variations, apart from fostering an implied, rather than explicitly stated, relationship.

Almost everyone ends up having to write with quotation marks at some point. Unfortunately, a lot of people aren’t sure about the rules governing them. Here are a few guidelines that should help you get that punctuation right.

Use quotation marks only when using a source’s exact words (no paraphrasing) or trying to highlight an item. If you’re planning to use quotation for reasons other than those two, don’t.

Periods always go inside the quotation mark. If the end of the quote isn’t the end of the sentence, then use a comma instead of a period in the same place.

Commas always go inside the quotation mark.

Question marks can go inside or outside the quotation mark. If the quoted sentence is the question, the punctuation goes inside. Otherwise, it stays outside.

Same rule as question marks goes for exclamation points. If both the quoted sentence and the containing sentence are exclamations, the punctuation goes inside the quote.

When quoting a source that quotes another source (yes, it’s just like Inception), you use quotation marks for the outer quote and single quote marks for the inner quote. If you’re quoting a source that quotes a source that quotes another source, we suggest skipping the extra layer and just quoting the second guy.

Want to have more variation in your sentence types? Try using semi-colons, one of the seldom used punctuation tools for altering the presentation of your sentences.

Using Semi-Colons

The primary reason some people avoid semi-colons is they simply don’t know when it’s appropriate to use them. Since it isn’t really necessary to ever use one, few bother learning where it can actually be employed.

Fact is, semi-colons are easy enough to use. A good time to use them is when you have two sentences that are short and clearly related. In such an instance, separating the two with a period can feel too abrupt a pause, making a semi-colon a wholly appropriate alternative.

You can also use a semi-colon as an alternative for commas when some items in a series consists of multiple items themselves. In such an instance, sticking to commas can create confusion, while opting for a semi-colon makes things a whole lot easier to process.

When Not To Use

Be careful when using semi-colons in longer sentences. Their ability to create a pause can lead to run-on sentences, especially if you don’t take enough care in using them. Also, long sentences are usually best served by a long pause — something a period, rather than a semi-colon, can do best.

Colons aren’t frequently abused as a punctuation, not like commas or exclamation points typically are. With that said, some situations will call for plugging them into your text and it’s best you know the rules before going to work.

When in doubt, start the statement after the colon with a lowercase letter. In fact, many people just avoid uppercase forms altogether, regardless of whether the following line is a sentence or a fragment. Do note that classic English form requires capitalizing under certain conditions.

For lists and other fragments, starting with a lowercase letter is the default way to lay it out. A dash is an equally acceptable replacement for some situations, especially for less formal situations.

When a colon is used to introduced a complete sentence, the traditional rule is to start it in uppercase form. Substituting with a dash usually isn’t acceptable.

When a colon is followed by a complete sentence but doesn’t introduce it, starting in lowercase is the norm. A dash can also be used as a replacement, although a colon is almost always the better choice.

I’ve seen several instances of a colon being used to introduce multiple sentences. While not entirely incorrect (even your grammar software will approve it), it’s very confusing and is decidedly bad form. Try avoiding it at all costs.

The greener you are as a writer, the more generous you usually act with exclamation points. Taught during early grammar school as an important punctuation and typically allowed to fester by grammar software, it really needs to be used less in writing – even less than the few times it is usually employed now.

I’ve seen someone write that you get a total of three exclamation points to use in your writing career and no more. While that exaggerates the idea, it makes the point perfectly clear – exclamations can be done without in most forms of writing without the littlest negative repercussion.

When a sentence ends in an exclamation point, it usually sounds either tacky or out-of-place. If you need to add an exclamation to stress an idea, it’s a good sign that your writing needs some work. If you’ve ever written anything with this kind of punctuation, try reading through it again – you’ll find that you can usually strike it out and rewrite without much problems.

Of course, there are pieces where exclamations come naturally. In fact, that’s the only time you should ever use one. When a sentence, thought or expression naturally requires it, the necessity is obvious – otherwise, don’t use them.

For business writing, in particular, exclamation points are a huge no-no. It accomplishes nothing yet can paint you as an unnecessarily rude individual, especially when you generously add them to your emails and other forms of correspondence. Imagine me, for instance, ending this piece with an exclamation point. What does it do to help? Answer me!

In any case that an individual does a considerable amount of writing like for instance a professional article writer or a novelist, then it would be wise for them to consider acquiring either or for even more added advantage, both the writing software and English software. This software is a text enhancement product specifically designed to make your writing undertakings as a writer much easier. The technology incorporates what is known as natural language processing, which means that as the software reads your writing, it evaluates it to a pre-existing storage file of contents from where it automatically reviews your mistakes while making meaningful and relevant suggestions at the same time.

When it comes down to the advantages of owning English software and/or writing software, the first thing is that as a writer you will never again be in a position to be concerned about ambiguous mistakes and typos in your text. It is fact that all writers even the very best make mistakes while constructing sentences, in grammar and spelling. This type of software since it interprets prose material in context will easily be able to pick out grammatical errors that would otherwise be hard to tell. Added to this type of software will also note on the writer’s punctuation, requiring the least amount of effort from you as the writer.

English software reduces on the amount of proof reading that is required by you as a writer. Instead of having to go through lengthy articles to proof read your work this software will do this for you and will save you a lot of time and energy. Moreover, it is more efficient and will correct every last mistake unlike you doing it yourself where you might skip some small and unnoticeable details.

Writing software has managed to revolutionize the world of writing especially for such people as novelists with the improvements that it makes on vocabulary. It will suggest on behalf f the writer substitute words and expressions for you to employ into your text, efficiently catapulting your vocabulary. Moreover, writing software will as a result of the outlines and templates encoded with it, assist the writer to expand storyline and concept ensuring a flow in the story.

Lastly, incorporating English software to improve on your writing skills as a writer will at once improve your communication skills. This is especially for those people who have English as their second language.

No more is there a need of your using a pen and paper, or a typewriter to write all those lengthy pages of matter. With a pen and paper and a typewriter, not only is the writing work rather tedious, even the proofreading work proves to be rather tedious as you have to erase whatever is written and rewrite it. Luckily, writing today is rather easy and convenient with the help of the many available computers and English writing software programs. Not only does this consume time, but it is also rather untidy as you have to rub at places and perhaps uses some whiteners on the papers while making corrections. Moreover, you have to read each word and sentence individually to find out if you have made any mistakes with your writing, and then make the corresponding rectifications.

Proofreading Is Fast and Efficient With English Proofreading Software

However with a computer, writing and proofreading is rather easy. This is because with software like Microsoft word, making corrections is all a matter of a few clicks on the keyboard. Proofreading can be done manually by you or some proofreader, or with the help of efficient English writing software. Manual proofreading consumes lots of your precious time; so the better alternative for you would be to install efficient English writing software. This English writing software will be able to rectify any corrections to be made in your grammar, spelling and punctuation in your writing.

Use English Writing Software for Automatic Proofreading

These corrections are made by the English writing software with the help of a huge database of information stating the different rules and laws for English grammar, spelling and punctuation. Even if you have a word processor, it is better to get English writing software installed as this software has much more features than the word processor. With the English writing software installed and functioning, you will be able to get the right accurate message across through your writing.

There are many types of English writing software available in the market today. It is up to you to choose the best software that best suits your writing and proofreading needs. You can buy combination software or perhaps one that concentrates only on grammar or one that concentrates only on spelling if grammar or spelling is your weak part. Englishsoftware.org helps you to get the latest English writing software tools available in the stores.

The best way you can ensure that your documents and other forms of text elements are perfect is to enlist the use of any English writing software in your computer. Of the many different types of English writing software available, it is better to use English grammar and punctuation checker to look for any writing errors in your work so that you produce a much more correct, accurate and fluent piece of writing. In fact, in the English language, writing is considered to be much more formal than its speaking, which is why it is important for you to maintain correct and professional English grammar and punctuation in your writing.
